Federal Golf Club is one of Canberra’s premier private golf clubs, offering an outstanding championship golf course, quality clubhouse facilities and a welcoming community of members and guests. We are seeking an enthusiastic, organised and commercially minded Events & Functions Coordinator to join our team.

About the Role

This is a casual position employed under the Registered and Licensed Clubs Award 2020 (MA000058).

Hours are flexible and will vary depending on event bookings and business requirements (approximately 15–30 hours per week, depending on event bookings). While many administrative duties can be completed during normal business hours, the successful applicant will also be available to work a flexible roster, including evenings, weekends and public holidays, when events are scheduled.

As our Events & Functions Coordinator, you will manage functions and events from the initial enquiry through to successful delivery. Just as importantly, you will play a key role in promoting Federal Golf Club as a destination for corporate events, celebrations and community functions by building strong client relationships and encouraging repeat business.

Working closely with clients, members and our food and beverage, kitchen, golf operations and management teams, you will ensure every event is professionally delivered while actively contributing to the continued growth of the Club’s events business.

Key Responsibilities

  • Respond promptly to function and event enquiries and convert enquiries into confirmed bookings.
  • Meet with prospective clients, understand their vision and prepare tailored event proposals and quotations.
  • Conduct venue inspections and showcase the Club’s facilities to prospective clients.
  • Build strong relationships with clients to encourage repeat business and referrals.
  • Identify opportunities to increase function bookings and enhance the Club’s reputation as a leading events venue.
  • Coordinate corporate functions, meetings, celebrations, golf days and member events.
  • Prepare detailed event run sheets and communicate event requirements to all operational departments.
  • Liaise with food and beverage, kitchen and golf operations teams to ensure seamless event delivery.
  • Coordinate room layouts, audio-visual requirements, suppliers and contractors as required.
  • Maintain accurate event records, booking systems and client communications.
  • Prepare deposits, invoices and final event accounts.
  • Work with the management team to promote the Club’s function facilities through marketing initiatives, networking opportunities and promotional activities.
  • Ensure exceptional customer service before, during and after every event.
  • Assist with the planning and delivery of Club-hosted member events.

About You

You are an enthusiastic hospitality professional who enjoys building relationships and takes pride in delivering exceptional customer experiences.

You are equally comfortable meeting with prospective clients, coordinating event logistics and ensuring every function runs smoothly from start to finish.

You will ideally have:

  • Previous experience in event coordination, hospitality, functions, venue management or event sales.
  • Excellent communication, presentation and interpersonal skills.
  • A genuine passion for customer service and relationship building.
  • Strong organisational and time management skills with exceptional attention to detail.
  • Confidence managing multiple events and competing priorities.
  • Sound computer skills, including Microsoft Office. Experience with booking or event management software will be highly regarded.
  • A proactive, flexible and solutions-focused approach.
  • The ability to work independently while contributing positively within a small, supportive team.
  • An interest in helping grow the Club’s functions and events business.

Essential Requirements

  • Current ACT Responsible Service of Alcohol (RSA) certificate, or the ability to obtain one prior to commencement.
  • Availability to work a flexible roster, including evenings, weekends and public holidays as required.
  • Current Australian working rights.

Desirable

  • Previous experience in a golf club, licensed club, hotel, conference venue or hospitality environment.
  • Experience in sales, business development or client relationship management.
  • Current driver’s licence.
  • Ability to assist with event setup, including moving tables, chairs and other event equipment where required.
